In-person Discovery and Design
The engagement between Camp Harbor View and Vera Solutions began in October 2018 with a 2-day in-person discovery and design workshop. Over the course of these two days, Vera Solutions and CHV discussed current systems and processes and mapped our ideal proposed solutions. Key outputs of this phase included a comprehensive list of functional requirements in the form of user stories with proposed technical solutions, a detailed timeline with key delivery dates, and an estimated budget for implementation.
Centralizing CRM and Fundraising with NPSP
Following the discovery and design phase, Vera Solutions began configuring a Salesforce CRM to replace the numerous systems that CHV used to store contacts and manage the engagements between them. In order to meet CHV’s fundraising and donor management requirements, Vera Solutions built the new system upon Salesforce’s Nonprofit Success Pack (NPSP), a flexible, open data architecture that sits on top of Salesforce and is preconfigured for the types of use cases that nonprofit fundraising teams most commonly need. Since CHV’s fundraising is mostly done online, the Salesforce system is integrated with Hubspot, an email marketing platform, and Classy, an online fundraising platform for nonprofits.
End-to-end Camp Management: Mobile Attendance to a Family Community
One of CHV’s most important functional requirements included the ability to enter and view attendance of campers at multiple times throughout the day and group them as needed (e.g. by bus or lighthouse group). To accommodate this, Vera Solutions designed and developed a set of custom Salesforce Lightning components that make up a mobile-friendly Attendance Page within the system. This is further integrated with Mogli SMS, a SMS and survey application that enables CHV staff to send absence notices to parents directly from their Salesforce system. This process of attendance tracking and absence notification takes CHV staff half as long as when they were using paper forms, leaving more time to focus on what really matters: working with the kids. To centralize camper applications and enrollment, Vera Solutions configured an online portal for Camp Harbor View’s website using a Salesforce Customer Community. FormAssembly is embedded within the Family Community for parents to submit applications, update contact information, and manage their applications for campers online. Because FormAssembly integrates directly with Salesforce, this has enabled CHV staff to streamline the application submission process and easily follow-up on incomplete applications. The enrollment process is now a one-click process for CHV staff, allowing them to easily send enrollment or waitlist notifications to hundreds of campers’ parents at once.
